Registration, Change, Cancellation & Refund Policies

If you register after the balance due date, payment in full is due to finalize your registration. If this is an issue, please reach out to the camp office and we will explore a payment plan.

  1. A cancellation is when a whole household reservation is cancelled.
  2. Cancellations and refund requests must be made in writing by emailing .
  3. June, July and August Family Camp sessions: cancellations made before April 1 incur a fee of 5% of the total registration cost or $100, whichever is higher. Cancellations on or after April 1 but more than 30 days before arrival incur a fee of 10% or $200, whichever is higher.
  4. Base Camp sessions: cancellations made before July 1 incur a fee of 5% or $100, whichever is higher. On or after July 1 but more than 30 days before arrival: 10% or $200, whichever is higher.
  5. Labor Day Weekend Family Camp: cancellations made before July 1 incur a fee of 5% or $100, whichever is higher. On or after July 1 but more than 30 days before arrival: 10% or $200, whichever is higher.
  6. We are not able to refund registration costs for cancellations made 30 days or fewer before your arrival date. If your family cannot attend because of a medical or extraordinary, unforeseen circumstance, we will try to fit you into another session and waive the change fee. If we can’t, we may extend a credit to the following year. This request must be made in writing on or before your scheduled arrival date, and is evaluated case by case.
  7. If your initial payment was made by credit card, an additional 3% fee is charged on any cancellation.
  8. If OFRC cancels a session before it starts, families can choose a full refund or a credit toward Summer 2028.
  9. If OFRC cancels a session after it has begun, families receive a partial refund or a credit toward Summer 2028.
  10. If OFRC must cancel all or part of a session because of requirements of the State Fire Marshal, the Department of Public Health and Safety, any law or regulation, or an environmental (e.g. smoke) or health (e.g. pandemic) condition, OFRC reserves the right to determine whether it can provide full, partial or no refunds and/or credits. Our goal is to refund or credit as much as possible, but as a small nonprofit some catastrophic events may prevent us from doing so. Please see Trip Insurance below.
  1. All reservation change requests must be made in writing.
  2. A reservation change is any change that reduces the cost of your original registration, including removing guests, changing sessions*, or reducing the number of accommodations reserved.
  3. There are no change fees for adding people or housing to a reservation.
  4. Change fees:
    • 60 or more days before arrival: $25 administrative fee.
    • Between 30 and 60 days before arrival: $25 administrative fee plus 10% of the resulting refund, if any.
    • If you paid by credit card and the change results in a refund, an additional 3% fee applies.
    • Changes that reduce cost made 30 days or fewer before arrival are non-refundable.
  5. No refunds are made for leaving camp early or arriving late, except when OFRC cancels the program.
  6. If someone in your party can no longer attend, a person in the same age group may take their place. If they are in a different age group, the higher rate applies and the difference must be paid before arrival. Tell us about any changes to your party before you arrive.

*Changing sessions may not be used to extend a 30- or 60-day change or cancellation window. There are no administrative fees for moving weeks because a waitlist spot opened.

We encourage campers to consider purchasing trip insurance. There are many options, and you are free to use any insurance company that meets your needs.

If payment is not received by the due date, or a mailed payment is postmarked after the due date, a $25 late fee is added to your balance. You will not be able to check into your tent or cabin until your full balance has been paid.
